The Riley Garlington Foundation is excited to welcome you as a vendor or food truck participant for our Annual Summer Out South community celebration!
We appreciate your interest in being part of an event created to bring together families, entrepreneurs, local businesses, food vendors, creatives, community partners, and supporters for an afternoon of entertainment, connection, culture, and community.

WHAT HAPPENS AFTER YOU SUBMIT PAYMENT?
Once you submit your vendor or food truck payment, your payment locks in your participation and reserves your space for Summer Out South.
A Riley Garlington Foundation Team Member will contact you within 24–48 hours after your payment has been received.
Our team will confirm your participation and provide any additional information, instructions, setup details, or event-day updates you may need.
Please make sure the phone number and email address provided with your registration are accurate and monitored regularly.
ARRIVAL & CHECK-IN
When you arrive at Summer Out South, a member of the RGF Event Team will meet and greet you at vendor/food truck check-in.
Our team will:
Confirm your participation.
Check you into the event.
Direct you to your assigned location.
Confirm your vendor or food truck placement.
Provide event-day instructions.
Assist with questions or immediate setup needs.
Your assigned location will be your designated space throughout the entirety of the event unless event management determines that a change is necessary for safety, crowd flow, weather, or event operations.
Please do not move your booth, food truck, tent, or equipment without approval from an RGF Team Member.
VENDOR & FOOD TRUCK RESPONSIBILITIES
Vendors and food trucks are responsible for arriving prepared and ready to operate during the scheduled event.
Please bring all equipment and supplies necessary for your business, including, as applicable:
Tables and chairs
Tents/canopies
Proper tent weights
Merchandise or inventory
Food and serving supplies
Payment processing equipment
Extension cords or approved power equipment
Signage and promotional materials
Cleaning supplies
Trash bags and waste containers
Each vendor and food truck is responsible for their own products, equipment, employees, representatives, inventory, sales, and business operations.
FOOD TRUCK & FOOD VENDOR REQUIREMENTS
Food trucks and food vendors are responsible for maintaining all required licenses, permits, inspections, insurance, food safety requirements, and applicable health and safety standards.
Food vendors are responsible for the safe preparation, storage, transportation, and service of food and beverages.
The Riley Garlington Foundation and event management are not responsible for obtaining or maintaining a vendor's required business or food-service credentials.
VENDOR & FOOD TRUCK CONDUCT
We want Summer Out South to be a welcoming experience for everyone.
All vendors, food trucks, employees, representatives, and assistants are expected to conduct themselves professionally and respectfully.
Vendors must follow reasonable instructions from RGF Team Members, event management, security, and designated event personnel.
Unsafe, disruptive, threatening, disrespectful, or inappropriate conduct may result in removal from the event.
CLEANLINESS & EVENT SPACE
Each vendor and food truck is responsible for keeping their assigned area clean and organized throughout the event.
Before leaving, vendors must properly dispose of trash and leave their assigned area in an acceptable condition.
Food trucks and food vendors are responsible for properly managing food waste, grease, cooking waste, and other materials.
Do not dump grease, oil, chemicals, food waste, or other substances onto the event grounds.
NEED TO LEAVE EARLY?
We understand that emergencies and unexpected circumstances can happen.
If you experience an emergency that requires you to leave the event before the scheduled conclusion, please contact the event coordinator before leaving whenever reasonably possible.
Use the designated vendor/food truck emergency departure process to reach the event coordinator.
An RGF Team Member will assist you and, when necessary, escort you safely through the appropriate exit route.
Please do not attempt to drive through guest areas, restricted areas, or active event spaces without direction from event staff.
VENDOR PROMOTION
We are proud to feature local businesses, entrepreneurs, food trucks, and community partners at Summer Out South.
We encourage all participating vendors and food trucks to promote their participation before the event through their social media platforms, email lists, websites, and other marketing channels.
When sharing, please tag the official event and Riley Garlington Foundation pages when applicable.
Your participation helps us build a stronger community — and your promotion helps us bring more people through the door to support you.
VENDOR FEE & REFUND POLICY
ALL VENDOR & FOOD TRUCK FEES ARE NON-REFUNDABLE.
By submitting your payment, you acknowledge that your vendor or food truck fee is non-refundable if you voluntarily cancel, fail to attend, arrive late, leave early, or are otherwise unable to participate.
ORGANIZER CANCELLATION
The only exception is if the Organizer cancels the event.
If the Organizer officially cancels Summer Out South, an applicable refund will be issued to the original payment method.
Please allow 2–7 business days for the refund to appear in your account, depending on your banking institution or payment provider.
EVENT CHANGES & UNEXPECTED CIRCUMSTANCES
Summer Out South is an outdoor event and may be affected by weather, safety concerns, venue conditions, or circumstances outside of the Organizer's control.
The Organizer reserves the right to make reasonable changes to vendor placement, event operations, schedules, access points, or other event logistics when necessary.
Vendors and food trucks are expected to follow all updated instructions provided by event management.
PROPERTY & PERSONAL RESPONSIBILITY
Vendors and food trucks are responsible for their own merchandise, equipment, vehicles, cash, inventory, personal belongings, and business property.
The Riley Garlington Foundation, its volunteers, event staff, security personnel, and affiliated event partners are not responsible for lost, stolen, damaged, or unattended vendor property.
Please secure your valuables and business equipment appropriately.
PHOTOGRAPHY & EVENT MEDIA
Photography and video may be taken throughout Summer Out South for event documentation, promotional materials, social media, website content, and future marketing.
Vendors, food trucks, representatives, booths, products, and activities may appear in event-related photography or video.
